FileTrac2QuickBooks Export Tool

Overview:


This export tool is a Windows based bridge designed to export financial data FROM FileTrac TO a QuickBooks Desktop Company File.  Whichever company file you have open is the one the export tool will use.  The tool is very user friendly, but you will need a working knowledge of QuickBooks.


FileTrac supports (and is only able to confirm compatibility) with QuickBooks/Intuit Pro, Premiere and Enterprise for 2020 and 2 years back.  We do not support QB Mac or QB Online at this time.

Please note that some users have experienced issues with this tool due to recent Microsoft updates.  These updates may cause the tool to be incompatible with current Windows; therefore, preventing the tool from working properly.  We are working on a solution for this and will post an update on the Announcements page in FreshDesk when completed. 


The FT2QB tool has 3 main data export functions: Invoices, Checks and Bills: 

  • Invoices: New invoices, revisions, payments, voided invoices, line item credits and write offs. 
  • Checks: These are any TPA checks written in FileTrac which is exported to your Vendor List. 
  • Bills: These are any Payouts created and saved from the FileTrac Payout Module and will transfer to the QBs VENDOR list as a lump sum – NOT Employee list. 


The FileTrac2QBs Tool is very user friendly.  The key set up for Invoicing is the mapping of your FileTrac clients to your QBs customers and the mapping of all your services and fees in FileTrac to an Income Account in your QBs.



Things to keep in mind are: 

  • QB’s has an 11-character limitation for its invoice numbers, so if your FileTrac file numbers are over 8 characters you are cutting it too close.  Example: File # 14-123456 will become Invoice # 14-123456-1.  
  •  QBs Class codes: If you use Class Codes in QBs then you have the opportunity to either:
    • Use the first two characters of your File# as your class codes.
    • Use the first XX unique characters of your File# to map to existing Class Codes.
  • When adding companies with duplicate names you will need to differentiate the names slightly so FileTrac can distinguish one from another. Just keep in mind how it will appear on your Acknowledgment Letters, Invoices, etc. - keep it simple.
