Text or Email Blasts in FileTrac – For Admin Only

*This feature is only available to those systems that have upgraded to the FT2020 version of FileTrac which is can be activated once the new SaaS agreement has been received. If your company wishes to upgrade to FT2020 please reach out to support for assistance.

Overview

As an Admin user you can send out text messages and/or emails to any user that has a cell phone number entered in their profile. This can be done for just one single person or can be sent to all employees at the same time. This can come in handy when trying to fill a large deployment or if you just need to send a message to all your employees. This is not the same as adding a file note and emailing or texting the note to a user.

How to Send a Text Blast

A text message can be sent to just one user, all users (with a valid cell phone number), or you can select any number of users at one time. Follow the instructions below to text a message to your employees.

  1. Click on Personnel Manager to open the Personnel Manager page.
  2. Select who you want to text by placing a check mark for the employee or check the box at the top of the column to Bulk Update.
  3. Click on the cell phone Icon to open the text box.

4. All phone numbers that will receive the text message will appear in this window.

5. Type the message you would like to send. If a reply is needed you will need to include an email address or phone number for the replies within your message.

6. Click Send SMS.

 Replies will need to be sent to a phone number or email address. The FileTrac system does not allow direct replies from an email or text within the system.

 In order for the recipient to receive your text the Mobile phone number must be entered and check marked as a mobile phone in the system as shown below.

 

How to Send an Email Blast

An email can be sent to just one user, all users (with a valid email address), or you can select any number of users at one time. First you will need to configure your email domain's DNS settings to allow Mailgun to send emails for your domains. If this has not yet been done, please contact us through a support ticket to get the DNS configuration information for your domain. Once complete, then follow the instructions below to send an email to your employees.

  1. Click on Personnel Manager to open the Personnel Manager page.
  2. Select who you want to text by placing a check mark for the employee or check the box at the top of the column to Bulk Update.
  3. Click on the mail Icon to open the text box.

4. All email addresses that will receive the message will appear in this window.

5. Enter the Subject of the email.

6. Type the message you would like to send. If a reply is needed you will need to include an email address or phone number for the replies within your message.

7. If you would like to include a signature, Insert Signature by clicking here.

8. If you would like to add an attachment clock Choose File to locate your attachment. You can add up to 4 attachments to the email.

9. Click Send Email.

 Replies will need to be sent to a phone number or email address. The FileTrac system does not allow direct replies from an email or text within the system.
